A clear purpose.
Last updated: 10 October 2026. This notice covers the new gym and studio campaign pages and brand-example requests.
What we collect
Your name, work email, role, organisation, country, region, number of locations, selected interests and any optional message. Brand requests also include the brand name, optional business website, your accuracy certification and verification/review status. We record a timestamp, request reference, limited campaign URL attribution and a hashed network identifier for abuse prevention. Please do not include sensitive personal information.
Why we use it
Club Media uses these details to answer your enquiry, prepare proposals, verify eligibility for examples, manage access and prevent abuse. Optional marketing updates use a separate opt-in. You can request that we stop updates at any time. Submitting an enquiry does not subscribe you.
Analytics choices
Optional analytics are off until you choose “Allow analytics”. With your choice, we record campaign page views and example clicks, without an advertising pixel or cross-site identifier. Lead saves and access audits are operational records. The preference is stored on this device. You can change it from the choices bar on any campaign landing page. Secure access uses an essential HttpOnly cookie after email verification; it expires after seven days.
Where information goes
Records are held in Club Media’s hosted site database through OpenAI Sites and Cloudflare. Email delivery uses Resend when configured. These providers may process information internationally, including outside your country. Access is restricted to the Club Media owner. We do not sell enquiry details or automatically share them with advertising audiences.
Retention and your choices
Unconverted enquiries and pending brand requests are reviewed for deletion after 12 months. Access sessions expire after seven days; verification codes after ten minutes. Necessary business and rights-review records may be retained longer when required. This review is managed by Club Media; automatic deletion is not currently enabled. Contact us to request access, correction, deletion, withdrawal of marketing consent or information about international processing.
Brand examples
Email verification establishes inbox control only. It does not prove brand authority or a trademark licence. We separately review your affiliation and our right to display each approved item. Brand-specific files are withheld from public pages and supplied only through authorised, expiring access.
